Volunteer Job Descriptions

All vendors must read this booklet and understand the rules before signing their waiver and submitting their items for the sale. Compliance with these regulations is mandatory.

MPOMBA CLOTHING SALE: JOB DESCRIPTIONS & GUIDELINES

Sale Guidelines
  1. All vendors are required to wear a red t-shirt. All vendors will work a five hour time commitment to be completed in succession (i.e. five hours straight – not an hour here and there).
  2. All vendors must sign in and out at the Welcome Table to ensure your hours are recorded as complete.
  3. Vendors are required to work in designated area. If work is slow in your area, please ask a Sales Coordinator where you can help out to make up your four five hours.
  4. Please be prepared to work in other areas as well. If your area slows down, or we are short in another, you may be re-assigned by a Sales Coordinator.
  5. Prices are all marked “as is”
Friday Night Set-Up
  1. Dress comfortable (jeans, running shoes, etc.). Stack chairs and block hallways. Wash tables. Place tables in hallway for Welcome Table, vendors, check-out and cashiers. Arrange wooden stage pieces for stacking toys. Put together and arrange all shoe and clothing racks. Place signs on racks and walls.
  2. When members have completed their set up, rearrange racks so that clothing is accessed easily. Rearrange toys, large toys, large equipment, mother’s needs, under garments and linens so that “like” items are together. Rearrange shoes and boots by size.
  3. Once this has been completed, begin quality check (see below).
Quality
  1. Once vendors have set up their items, join the set up crew for a “quality check” of all items.
  2. Choose a clothing rack and go through items checking for out of season, stains, tears or dirty items. Pull those items off of the rack and place in the “reject” box.
  3. Check toys to ensure that none on display are filthy or obviously broken. If time permits, test some of the toys to see if they are in working order.
  4. Once the “quality check” has been completed, remove all items in boxes to the back room. Check items and identify on tags the problem with that particular item (i.e. out of season, ripped, dirty, etc.).
Signs
  1. Pick up signs Friday night. According to map, place signs around neighborhood streets at 5:30 a.m. the day of the sale.
  2. Pick up the signs after/during clean up and deliver to designated member for storage.
Detaggers
  1. Remove items from clear bags.
  2. When time permits, fold the clear bags and give to a Gopher to pass to the door.
  3. Carefully remove tags from sale items.
  4. Check to make sure that the item and tag match. If they do not match, contact a Sales Coordinator, President/Co-President, Vice President or Security immediately – do not allow the purchaser to check out.
  5. If a price change (scratched out, hard to read, etc.) occurs, contact a Sales Coordinator, President/Co-President, Vice President or Security immediately.
  6. Place all items in black garbage bag and knot it.
  7. Pass tags to Adding Machine person.
Adding Machines
  1. Receives tags from the Detaggers.
  2. Turn “count” on the adding machine.
  3. Add all of the tags for each purchaser.
  4. Bundle receipt tape and tags with an elastic.
  5. Circle the total amount on the back, list the table (i.e. A, B, C, etc.), the purchaser number and your initials on the back.
  6. Return bundle to purchaser to take to the Cashier.
  7. Ensure table is clean at all times and tags are carefully handled to avoid lost tags.
Both Detaggers & Adding Machines
  1. Detaggers and/or Adding Machine personnel are not to leave their tables until released by a Sales Coordinator.
  2. Ensure table is clean at all times and tags are carefully handled in order to avoid lost tags. At sale end proceed to clean up table and area, ensuring all items are put away in the rubber maid tubs. Begin clean up in main room and/or begin work in other assigned areas to complete your five hour time commitment.
Cashiers
  1. Take receipt bundle from purchasers.
  2. Take cash from purchaser and provide necessary change (cheques are only accepted from Multiple Members).
  3. Check for counterfeit money with detector. If money is suspected of being counterfeit, contact Security who will liaise with the Police Officer. Sales Coordinators, President/Co-Presidents and/or Vice President will be made aware as well.
  4. Ask purchaser to put his/her name on the telephone list for a future reminder. Put receipt bundles into bucket to be returned to the Treasurer at the end of the sale.
  5. Liaison with Treasurer for the mid sale balancing. Only authorized personnel will perform this function.
Tag Sorters
  1. Sort tags by vendor in back room and remove any extra tape remaining on tags. Bundle tags with elastics in envelopes with vendors’ initials. Place in Laundry Basket and hand over to Sale Coordinators when complete
Floor Person (Clothing, Shoes, Linens, Mother’s Needs, etc.)
  1. Assist customers in your area. Keep tables/floor/racks tidy and safe & ensure sizes do not get mixed up. Straighten up areas to look attractive to buyers.
  2. Stay in assigned area. Be careful not to wander and get side-tracked chatting.
  3. Give tags on floor to Lost Tags.
  4. Assist with matching tags and items when required.
  5. Watch customers to ensure that no tag switching, stealing, etc. is taking place. Closely assist any customer trying on items (especially shoes and outerwear). If someone is suspected, contact Security immediately!
  6. Ensure that items are returned to their racks if they are tried on and in the same condition with the tag intact.
  7. Watch purchasers sorting their items if you are at the front of the sales room.
  8. Assist with Clean Up to ensure five hour work requirement is met.
Floor Person (Toys, Large Toys & Large Equipment)
  1. Assist customers in your area.
  2. Straighten up areas to look attractive to buyers.
  3. Stay in assigned area. Be careful not to wander and get side-tracked chatting.
  4. Give tags on floor to Lost Tags.
  5. Assist with matching tags and items when required.
  6. Watch customers to ensure that no tag switching, stealing, etc. is taking place. Do NOT allow purchasers to take items outside of the sale area to “test”.
  7. Do NOT carry items out to vehicles without permission of a Sale Coordinator or Security.
  8. Arrange “like” items whenever gaps in stage/floor area appear.
  9. Assist with Clean Up to ensure five hour work requirement is met.
Strollers
  1. Assist customers in your area.
  2. Stay in assigned area. Be careful not to wander and get side-tracked chatting. Give tags on floor to Lost Tags.
  3. Assist with matching tags and items when required.
  4. Do NOT allow purchasers to take items outside of the sale area to “test”.
  5. Do NOT carry items out to vehicles without permission of a Sale Coordinator or Security.
  6. Bring strollers onto the sale floor when directed by Front Door person, a Sale Coordinator or Security (usually mid-sale).
  7. Assist with Clean Up to ensure five hour work requirement is met.
Lost Tags
  1. Match lost tags with items that are missing tags. If there is no price on the tag, the item cannot be sold unless you are able to find the seller and they assign a price on the tag.
  2. Keep a supply of tags and hangers at all times.
  3. Liaise with Security.
Large Item Hold
  1. Mark names of prospective purchasers and the time placed on hold on Large Items and place in Large Hold storage area.
  2. All items will be held for twenty (20) minutes.
  3. If the prospective purchaser does not come back or the purchaser does not wish to buy the item, the item must be returned it to the floor as quickly as possible.
Clean Up Crew
  1. Sort clothing in your section by initials and then place on the appropriate initial rack set up for each vendor.
  2. Begin arranging clothing on racks alphabetically and by vendor to ensure easy pick up.
  3. Arrange items on tables and toys by vendor and sort into bins left by vendors.
  4. Check floor for any lost tags and pass to Lost Tags.
  5. After the sale, put out “Reject Boxes”.
  6. Once vendors come to claim their items begin consolidating racks and wheel extra racks to the back room for pick-up.
  7. Rearrange tables and chairs accordingly.
  8. Discard any broken boxes, garbage, etc. Ensure staff room is rearranged as found.
